The café owner who could never finish a day off

Imagine settling into lunch on your day off when your phone lights up. Where are the spare receipt rolls? Who checks the delivery? What should happen before the afternoon shift arrives?

None of these questions is unusual. Together, though, they explain why some hospitality owners never feel completely away from work. The team is willing, but the instructions live in the owner’s head.

Before your next day off, keep a note of the routine questions you answer. Look for the one that comes up most often. That is a useful place to begin documenting your business.

A procedure needs enough detail for someone else to act. Write down when the task happens, who handles it, the steps involved and what a completed task looks like. Include the point at which staff should contact the manager. Clear boundaries help people make routine decisions without guessing about serious issues.

Then test the instructions. Ask a team member to follow them while you observe. If they pause or need clarification, improve the wording. Their questions show you what the document is missing.

You do not need to document the entire venue before making progress. Start with one recurring interruption, train the team and review what happens on the next shift.

The Operations Manual from Business Manuals Made Easy provides a starting framework for documenting daily work. Adapt it to your venue and build instructions your team can actually use.

Your next day off starts with the decisions you make easier today.
